Privacy Policy
FLEETBAQ is back-office software for trucking carriers. This policy explains what data we collect, how we use it, and how you can remove it. It applies to fleetbaq.com, the FLEETBAQ web app, and the FLEETBAQ driver apps.
1. Data you give us
- Account details: name, email, phone, company name, DOT/MC numbers.
- Operational data you enter: loads, drivers, trucks, trailers, brokers, invoices, expenses, payroll, documents you upload.
- Driver location and status from the driver app, when the driver enables it.
2. Connected email accounts (Gmail, Outlook, IMAP)
If you choose to connect an email account, FLEETBAQ shows that mailbox inside the FLEETBAQ app so dispatchers can read, reply to and file broker emails and attachments (rate confirmations, BOLs, receipts) without leaving the platform.
- What we access: the messages, folders and attachments of the mailbox you connect, and the ability to send and reply from that address. With Google this is the
gmail.modifyscope; with Microsoft it isMail.ReadWriteandMail.Send. - What we store: your email address, display name, provider, and an encrypted access credential (OAuth refresh token or, for IMAP, an app password). Credentials are stored in an encrypted vault and are never shown to any user or written to logs.
- What we do not store: we do not copy your mailbox. Messages and attachments are fetched live from your provider when you open them and are not retained on our servers, except for an attachment you deliberately save to a load or document folder in FLEETBAQ.
- Who sees it: only owner users of your own carrier account in FLEETBAQ. Your mail is never shared with other carriers, brokers, advertisers or any third party, and is never sold.
- No AI training: email content is not used to train machine-learning models.
- Disconnect any time: Settings → Email → Disconnect. This revokes the token with your provider and deletes the stored credential immediately. You can also revoke FLEETBAQ from your Google Account permissions or Microsoft account privacy settings.
FLEETBAQ's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
3. Driver location
With the driver's one-time consent, the FLEETBAQ driver app shares the driver's GPS position with their own fleet's dispatcher only while a load is active: from twelve (12) hours before the scheduled pickup, or the moment the driver taps Start trip if that comes sooner, until the load is marked delivered.
- Sharing stops automatically at delivery. Location is never collected outside an active load.
- Only the driver's own carrier sees it. It is never shared with brokers, other carriers, advertisers or any third party, and is never sold.
- Drivers can decline or revoke consent at any time, in the app or in their device settings.
4. How we use data
- To run the service you signed up for: dispatch, tracking, documents, invoicing, payroll, compliance.
- To send transactional messages (login codes, alerts you enabled).
- To provide support and keep the service secure.
We do not sell personal data and we do not use it for advertising.
5. Third-party services we rely on
- Supabase (database, authentication, encrypted secrets, edge functions) — United States.
- Netlify (web hosting), Resend (transactional email), Google Maps (maps and mileage).
- Providers you connect yourself: your ELD/telematics vendor, Checkr (background checks you order), your email provider.
Each processes data only as needed to deliver the service.
6. Security
All traffic is encrypted in transit (TLS). Credentials and tokens are encrypted at rest. Access is scoped per carrier by database row-level security, so one carrier can never read another carrier's data.
7. Retention and deletion
Your data stays while your account is active. You can delete drivers, documents and connected accounts yourself in the app. To delete your whole account and its data, email contact@fleetbaq.com and we will complete it within 30 days, subject to records we must keep by law (for example invoicing records).
8. Your rights
You can access, correct, export or delete your data by using the app or contacting us. California residents have the rights described in the CCPA; we do not sell or share personal information as defined there.
9. Children
FLEETBAQ is a business tool and is not intended for anyone under 18.
10. Changes
We will post updates here and change the effective date above. Material changes are announced in the app.
